Cancellation & Refund Policy
Last updated: September 2026
Â
At Andes Approach, every outing is planned and guided personally by me, Lucas. I am an independent mountain guide, not a large agency, and I personally handle your booking, preparation, logistics and guiding.
Because I reserve my time specifically for your trip and keep groups small, cancellations can have a significant impact on the availability of those dates. This policy is intended to make the process clear and fair for both of us.
Â
1. Your booking
A booking becomes confirmed once I have received the agreed payment or deposit and confirmed the date with you.
By confirming a booking, you acknowledge that mountain activities depend on weather, terrain, access and safety conditions, and that the itinerary may need to change accordingly.
Nothing in this policy limits any mandatory rights you may have under applicable consumer-protection law.
Â
2. If you need to cancel
If you need to cancel your booking, please contact me as soon as possible by email or WhatsApp.
For voluntary cancellations, the following policy applies:
Â
-
More than 14 days before the scheduled activity: 100% refund of the amount paid.
-
Between 14 and 7 days before the scheduled activity: 50% refund of the amount paid.
-
Less than 7 days before the scheduled activity: the payment is non-refundable.
Â
The cancellation date is the date on which I receive your written cancellation request.
These cancellation terms reflect the fact that your date is reserved exclusively for you and, particularly at short notice, I may not have a realistic opportunity to offer that date to another client.
Â
3. Changing your date
If you cannot make your original date, I will always try to accommodate a change of date where my availability allows.
Requests to change the date made more than 7 days before the activity can normally be transferred to another available date without penalty.
Changes requested within 7 days of the activity are subject to my availability and may be treated as a cancellation if I cannot accommodate the new date.
For trips involving non-refundable third-party costs, such as park fees, transport, accommodation or other services, those costs may be deducted from any refund or may need to be paid separately.
Â
4. Weather and mountain conditions
Mountain conditions can change quickly in Patagonia. Weather, snow, wind, visibility, avalanche conditions, trail conditions, access restrictions and other factors may affect an outing.
Your safety comes first.
I may change the route, objective, start time, destination or itinerary when I believe this is necessary because of weather, mountain conditions, access or safety.
A change to the itinerary for safety reasons does not automatically constitute a cancellation and does not automatically entitle you to a refund.
Where reasonably possible, I will discuss alternative options with you and try to provide an experience that is appropriate for the conditions.
Â
5. Cancellation by Andes Approach
As the sole guide and operator, I reserve the right to cancel or postpone an outing when I determine that conditions are unsafe or when circumstances outside my reasonable control make the planned activity impractical or impossible.
Where I cancel an activity before it begins for safety, weather or other operational reasons, I will first try to find an alternative date or suitable alternative activity.
If we cannot agree on an alternative, I will provide a full refund of the amount paid for the affected activity.
I will not be responsible for other expenses you may have incurred in connection with the trip, such as flights, accommodation, rental cars, transfers or other travel arrangements. I strongly recommend appropriate travel insurance.
Â
6. If I become unavailable
Andes Approach is a one-guide operation. This means that if I become unable to guide because of illness, injury, an emergency or another circumstance that prevents me from safely performing the activity, I may need to postpone or cancel the outing.
Where possible, I will offer an alternative date.
If no suitable alternative can be arranged, you will receive a full refund of the amount paid for the affected activity.
I will not substitute another guide without your agreement.
Â
7. No-shows and late arrival
If you do not arrive at the agreed meeting point at the agreed time and have not contacted me, the booking may be treated as a no-show.
No-shows and cancellations made after the agreed meeting time are non-refundable.
If you are running late, please contact me as soon as possible. Depending on the circumstances and the itinerary, I may be able to adjust the start or route, but this cannot always be guaranteed.
If a significant delay means that the planned activity can no longer be completed safely or reasonably, the booking may be treated as a cancellation on the day.
Â
8. Illness, injury or personal circumstances
Â
If you are unable to participate because of illness, injury, a change in travel plans, missed transport, flight disruption or another personal circumstance, the normal cancellation terms above apply.
I understand that unexpected things happen. Where circumstances allow, I will always try to find a practical solution, such as moving the booking to another available date, but this is subject to my availability and any non-refundable costs already incurred.
For this reason, I recommend travel insurance that covers cancellation and outdoor or mountain activities.
Â
9. Trips involving third-party services
Some custom trips may involve third-party services such as transport, accommodation, park access, specialist equipment or other providers.
Where these services have separate cancellation or refund conditions, those conditions may apply to the relevant portion of your booking.
I will communicate any significant non-refundable third-party costs to you before they are committed.
Â
10. Refund processing
Approved refunds will normally be returned using the original payment method.
I will process eligible refunds as soon as reasonably possible after the cancellation has been confirmed. The time for the funds to appear in your account may depend on the payment provider or bank.
Any refund will be calculated according to the terms applicable to your booking and any mandatory rights under applicable law.
Â
11. Statutory consumer rights
This policy does not exclude or restrict any rights that cannot legally be excluded or restricted under applicable consumer-protection legislation.
Where a statutory right to cancel, withdraw or obtain a refund applies, that right takes precedence over this policy.
